Connecting QuickBooks Online

Send your invoices and payments to QuickBooks without retyping them

Applies to: Billing

If you keep your books in QuickBooks Online, connect it to Time Tracker Billing. Your clients, invoices, and payments flow into your accounting without retyping.

Before You Connect

Clean up duplicate client names in both systems first. "Acme Corp" here and "Acme Corporation" in QuickBooks won't match, and you'll end up with two customers in your books.

Connecting

  1. Click Settings and open the QuickBooks Online tab.
  2. Click Integrate with QuickBooks Online.
  3. Sign in to QuickBooks and authorize the connection.
  4. Map your fields when asked, so each record type matches the right one in the other system.

What Syncs, and Which Way

QuickBooks Online Field Mapping

The field map on the QuickBooks Online tab. The arrows show which way each record type goes.

Direction
What syncs
Both ways
Clients and customers, projects and sub-customers, users and employees, vendors, service items, expense types
Into QuickBooks
Time entries, expense entries, invoices, payments, adjustments, finance charges, client refunds
From QuickBooks
Classes, locations, bank accounts, discount items, and sales tax items, so both systems use the same accounting setup

Common Problems

  • Syncing stopped. Go to Settings > QuickBooks Online and reconnect. The authorization expires from time to time.
  • A new expense type or tax item doesn’t sync. Anything added after the first setup may not be mapped yet. Check the field mapping.
  • You see duplicate customers. The names didn't match exactly, so a new record was created. Make the names match in both systems.
