Expense reports show where the money is going: by client, project, person, or type of expense. Use them to check expenses before you invoice, pay people back, and keep project spending in line.
Which Report?
- Expense: each expense with its date, person, client, project, type, and amount. Filter by expense type, client, project, or user.
- Time & Expenses: time and expenses together.
- Client Entry: time and expenses for each client. Handy just before you invoice.
Running an Expense Report
- Click Home > Reports and choose the report.
- Set the filters: date range, client, project, user, or Expense Type. Set Status to UnBilled to see expenses that haven't been invoiced yet.
- Click Generate Report. Then export it to CSV or schedule it by email.
Common Uses
- Before invoicing: check that every billable expense for the month is in. See How to Create a New Invoice.
- Paying people back: at the end of each pay period, list the reimbursable expenses and share them with whoever runs payroll. See Expense Markup, Reimbursable, and Taxable Settings.
- Project budgets: filter by project to compare spending with the budget. See Project Reports: Budget vs. Actual and Profitability.
Common Problems
- An expense is missing. Check the date range and the Entry Status filter. If your firm approves expenses, it may still be waiting for approval. See Approving Expenses.
- You only see your own expenses. What you can see depends on your access. See Choosing What Each User Can See (Access Permissions).
