Setting Up Activity Groups
Show each client only the activities that apply to them
Applies to: Workforce · Premium · LawBillity
Once your activity list gets long, people scroll past dozens of choices that don't apply to the client they're working for, and they pick the wrong one. An activity group fixes this: you bundle the activities for one kind of work, assign the group to a client or project, and people only see those activities when they log time there.
Creating a Group
- Click Admin > Settings > Customize > Manage Activity Groups.
- Add a new group and give it a clear name, such as Consulting or Litigation.
- Pick the activities that belong in it.
- Save.
The label follows your firm's terms. If your firm calls activities Service Items, it's Manage Service Item Groups. See Renaming Clients, Projects, and Other Terms (Term Settings).
Assigning a Group
- To a client: open the client and choose the group on its activity group tab (for example Service Item Group). Leave it on the default to allow all activities. See Using Activity Groups with Clients.
- To a project: set the group on the project. A project's group takes priority over its client's group.

Assign Consulting to your consulting clients, Development to your software clients, and so on.
Tip: Keep it to one group per service line. If you have 3 or 4 kinds of work, that's 3 or 4 groups. To change the activities themselves, see
Managing Custom Lists.
Common Problems
- Someone can’t find an activity for a client. It isn't in the group assigned to that client or project. Add it to the group, or assign a different group. See Why Can't I See Certain Clients, Projects, or Activities?.
- You added a new activity and nobody sees it. New activities aren't added to existing groups. Add it to each group that needs it.
