Setting Up Time Off Codes

Turn on Time Off and create the categories your team can request, such as Vacation, Sick, and Holiday

Applies to: Workforce · Premium · LawBillity

Before anyone can request time off, an admin needs to turn the feature on and create at least one time off code. A code is a category of time off, such as Vacation, Sick, Holiday, or Personal Day, and every request uses exactly one. Accrual rules (how hours are earned) are covered in Setting Up Time Off Accrual Policies.

Getting There

Go to Admin > Settings > Timer Settings and click the Time Off sub-tab on the left. (The Manage Time Off Codes link on the Time Off page under Entries takes you to the same place.)

Time Off Settings Tab

The Time Off settings tab: the on switch, firm-wide rules, and the code table. Click the picture to see it full size.

Enabling Time Off

Tick Enable Time Off. This adds the Time Off widget to every user's dashboard, notifies admins and managers when someone submits a request, and notifies users when a request is approved or rejected. Two more firm-wide options sit underneath:

Setting
What it does
Allow Managers to edit users' time off balances
Off by default. When on, Managers (not just Admins) can add or deduct hours on the Balances tab.
Do not allow time off entries on
Tick any weekday to block time off requests on that day for the whole firm. For example, tick Sat and Sun so nobody can request weekend time off.

Click Save at the bottom of the page after changing either of these.

Adding a Code

  1. Click Add a New Code.
  2. Type a Time Off Code Name. This is what users pick in the request dropdown, and what appears on timesheets and reports.
  3. Type Code Initials (H, S, V, PD), a short label used where space is tight.
  4. Choose Paid or UnPaid. Paid time off counts toward the user's hour totals on the Approvals screen; Unpaid doesn't.
  5. Click Assign Users and tick who may use this code, or Select all users. A user only sees codes assigned to them.
  6. Tick Track Accruals if the system should earn hours for users automatically. Leave it unticked for codes with no balance, such as a firm-wide holiday.
  7. Click Save. If you ticked Track Accruals, the button reads Save & Configure and the accrual settings open next.

Add a New Time Off Code

The Add a New Code dialog.

Assign Users to Time Off Code

Assign Users: search by name, tick individuals, or Select all users.

Important: Paid or Unpaid can't be changed once the code is saved. The option is greyed out on Edit Code. If you get it wrong, delete the code and create it again.

Editing or Deleting a Code

Click a code's name in the table to open Edit Code. From there you can rename it, change its initials, re-assign users, and click Make Edits next to Track Accruals to change its accrual rules. To remove a code, tick its checkbox and click Delete Code.

Edit Time Off Code

Edit Code: Paid/Unpaid is locked, and Make Edits opens the accrual settings.

Tips

  • Keep the list short. Three or four codes cover most firms, and users pick from this list every time they request.
  • Use the Assigned To column to check who can use a code. Click it to open the same user picker.
  • Codes that don't track accruals show None in the Accrual Type column. That's fine for holidays you enter on everyone's behalf.

Common Problems

  • A user can’t see a code when requesting time off. The code isn't assigned to them. Add them with Assign Users.
  • A code was saved as Paid but should be Unpaid. Delete it and create it again.

Next Steps

If a code should build up a balance over time, set its rules in Setting Up Time Off Accrual Policies. To grant hours by hand, see Managing Time Off Balances. To control who's emailed when requests come in, see Configuring Firm Notifications.
