To edit information such as Time and Expense Entries on an invoice, the invoice has to be in PreBill Status. But don't worry. If you want to make changes to an invoice in Finalized Status, you just need to Un-finalize before you can make edits.
Here's how to un-finalize a finalized invoice so you can make edits:
First, go to the "Invoice" Tab and then click on the "Invoice List" Sub Tab.
Now, click the red cross to expand the "Filters" search menu.
After you click the red arrow, you can set the parameters for what will show up in the Invoice List.
Click the "Search" button within the Filters search menu. Your invoice list will refresh on the page.
Next, highlight the invoice you want to edit, and a black down arrow will appear to the right of the row.
Click the down arrow and you will see a list drop-down menu with quick actions.
Now, select "Unfinalize" in this list drop-down menu. Your invoice is now in "Pre-Bill" Status and available for editing.
You can always open up a PreBill Invoice and click on the Entries to edit each directly.
Here's a way to see all your invoices and open the Pre-Bill Invoice for editing:
First, go to the "Invoicing" Tab and click on the "Invoice List" Sub Tab.
Find your invoice in the list (you can click on the red cross to expand the "Filters" search menu to control which invoices show up in the list).
Highlight the invoice and a black down arrow will appear to the right of the row. Click that black down arrow and a list drop-down menu will appear.
Select the "Edit invoice" option.
A new page will pop-up where you edit the details of the Invoice and click the "Continue" button.
You can see the Time and Expense entries that are included on the Invoice.
- Un-check the boxes next to any entries you want to remove from the Invoice.
- Click directly on any entries you want to edit. A new window will pop-up where you can make edits right on to the Time or Expense Entry Forms. Just click the "Save" button the Entry Form after you make those edits.
Next, click the "Save" button and your updated PreBill Invoice will appear in a new window.
If everything looks correct, then click the "Finalize" button to proceed with billing. If there are still mistakes on the PreBill Invoice, then you can click on those items and edit them straight from the invoice.
