DCAA Compliance Settings

Keep a log of every change to time entries for government contract audits

Applies to: Workforce · Premium · LawBillity

If you work on government contracts, a DCAA (Defense Contract Audit Agency) audit can ask you to prove your time records are accurate and that every correction is visible. Time Tracker's DCAA setting keeps that record for you: every change to a time entry is logged.

Turning It On

  1. Click Admin > Settings > Timer Settings.
  2. Set Time Entry Logs (DCAA Compliance) to Yes.
  3. Click Save.

Changes are logged from that moment on. Earlier edits aren't recorded.

Viewing the Log

Click Admin > Time Entry Logs. Only admins can see it. Use it to show an auditor who changed an entry and when.

What It Doesn't Do

People still enter and edit time the same way. Time Entry Logs don't lock entries or stop anyone from editing. They only record the changes.

Pair It With These Settings

A log on its own doesn't stop changes. For a complete setup, add:

  • Approvals: a manager reviews time before it can go on a finalized invoice. See Enabling or Disabling the Approval Workflow.
  • Locked time periods: people can't change time or expenses after payroll or billing is done. See Locking Time Entry Periods.
  • Total Time Lock (Timer Settings): set to Restricted so a user's total time is calculated from their entries instead of typed in.

Common Problems

  • People can still edit their time after you turned on the log. That's expected. To stop edits to past periods, lock them. See Locking Time Entry Periods.
  • An employee can’t edit an entry and thinks DCAA is the cause. It isn't. Entries are only blocked by a locked day or approval. See I Can't Edit a Time Entry.
  • You can’t find a DCAA settings page. There isn't one. The setting is on Timer Settings, and the log is under the Admin menu.
