I Can't Edit a Time Entry

Find out why an entry is locked and how to get it changed

Applies to: Workforce · Premium · LawBillity

There are only two reasons you can't change a time entry: the day is locked, or the entry has already been approved. Find out which, then follow the steps below.

Why It's Locked

Reason
How to tell
The day is locked
An admin or manager locked the day after payroll or invoicing. Locks cover both time and expense entries. They can check Who’s Locked? in Entries > Lock Time Periods.
The entry is approved
Your firm uses approvals and a manager approved it. In Manage My Entries, it shows under Approved.

Getting It Changed

  • Locked day: ask your admin or manager. They can still add or edit entries for you on locked days, so they can make the fix themselves. Or they can unlock the day for you in Entries > Lock Time Periods and lock it again afterwards. See Locking Time Entry Periods.
  • Approved entry: ask your approver to reject it. In Entries > Manage Team Entries, they click Approved, tick the entry, and click Reject. It comes back to you under Rejected, so you can fix it and submit it again. See Approving and Rejecting Time Entries.

If the entry is only Submitted, it isn't locked. To take it back before it's reviewed, click Submitted in Manage My Entries, tick it, and click Revert to Pending. See Editing, Deleting, or Taking Back a Time Entry.

Note: DCAA compliance mode (Time Entry Logs) doesn't lock entries. It only records changes, so it isn't the reason you can't edit.

Common Problems

  • You can’t type a Total Time. That isn't a lock. Your admin has set Total Time Lock to Restricted for you, so the total is calculated from your start and end times.
  • The lock seems to be on the wrong day. Locks follow your own time zone. Ask your admin to check the time zone on your user profile.

For Admins

If people often need changes to locked days, lock a little later, for example a few days after payroll instead of the same day. Some firms lock weekly, others monthly.
