Selecting Entries for an Invoice

Choose exactly which time and expenses go on an invoice

Applies to: Premium · LawBillity

Not every unbilled entry has to go on this invoice. You might bill only through the end of the month, invoice each project separately, or hold some time for later. You decide on the Select Invoice Entries screen.

Picking the Entries

  1. On the invoice, choose the client, then click Select Invoice Entries. The client's unbilled entries are listed.
  2. Narrow the list if you need to (see below) and click Update.
  3. Tick the entries to include, or tick the box in the header to select them all.
  4. Check the Rate column (see below), then go back to the invoice. Each entry you ticked is now a line on it.

Narrowing the List

If...
Do this
You bill each project on its own invoice
Choose the Project.
You want to look at one person's time
Choose the User.
You bill through a certain date
Set the date range to end on that date, such as the last day of the month. Later work waits for the next invoice.
You want to see entries that aren't approved yet
Turn on Include Unapproved. It's off unless you turn it on, so normally only approved entries are listed. If your firm uses approvals, they still have to be approved before the invoice can be finalized.

Check the Rate Column

The Rate column shows the rate actually used for each line. Time Tracker uses the most specific rate it finds: the project rate, then the client rate, then the activity's default rate, then the user's standard billing rate. If a rate is wrong or $0.00, fix it before you finalize. See Why Does My Invoice Show $0.00? and Setting Client Billing Rates and Overrides.

Common Problems

  • An entry you expected isn’t listed. It may not be approved, may be outside the date range or project you chose, or may already be on another invoice. See Understanding Billing Statuses: UnBilled, Pre-Billed, and Billed.
  • You left some entries off. That's fine. They stay UnBilled and will be listed for the next invoice.
  • A rate is wrong. Change the rate where it's set, then delete this draft and create the invoice again so the new rate is used.
