Using Activity Groups with Clients
Show only the activities that apply to a client, so your team picks the right one
Applies to: Workforce · Premium · LawBillity
A long activity list means people scroll past work types that don't apply, or pick the wrong one. Assign an activity group to a client, and only the activities in that group appear when someone logs time for that client.
Assigning a Group to a Client
- Click Clients and click the client's name.
- Open the Activity Group tab.
- Choose a group.
- Click Save.
From then on, anyone logging time for this client sees only the activities in that group. Leave the tab on the default to allow all activities.
Using a Different Group for One Project
You can also assign a group to a project. A project's group overrides the client's group. For example, a client might use a Consulting group, while one software project under that client uses a Software Development group.
When Groups Help
- Several service lines. If you offer consulting, development, and support, make a group for each and give each client the right one.
- Legal work. Law firms using UTBMS codes can make a group per practice area (litigation, transactional, bankruptcy) so attorneys only see the codes they need.
- Long activity lists. With 50 or more activities, groups keep the dropdown manageable.
Creating Groups
Admins create groups in Admin > Settings > Customize > Manage Activity Groups (Manage Service Item Groups in some firms). See Setting Up Activity Groups.
Common Problems
- An activity is missing from the dropdown. It isn't in the group assigned to that client or project. Add it to the group, or choose a different group. See Why Can't I See Certain Clients, Projects, or Activities?.
- You changed the client’s group, but one project still shows different activities. That project has its own group, which wins. Change it on the project.
