Before time entries are synched (and then invoiced) in QuickBooks, an Admin must approve them. Here are two easy ways to submit your time entries for approval by an Admin.
Option 1: Submit with the Dashboard Tab
- Click on the ‘Dashboard’ tab.
- Then click on the ‘Overview’ sub tab.
- You will now see a list of your Timesheets. Add checkmarks next to the Timesheets you want submit. Then click on the ‘Submit’ button.
Helpful Tip:
To review the time entries before you submit them, click the ‘View’ link to the right of the Timesheet row.
This will take you to the Weekly Timesheet view where you can make your edits.
Option 2: Submit with the ‘Time Activity’ Sub Tab
You can also submit your time entries with the ‘Time Activity’ sub tab. This will give you a breakdown of all your time entries.
- Click on the “Dashboard” tab. Next, click on the “Time Activity” sub tab.
Now, you’ll see a breakdown of all your time entries.
Your entries will be divided by their status: Pending, Submitted, or Approved. You can click on any of these three buttons to see the entries that fit into that category. For example, click on “Pending” to see which entries are still waiting for approval.
You can also filter your time activity search by clicking the red cross to expand the “Search Entries” menu. Then filter by Worker, Customer, Activity Type and whether the time entry is Billable.
Helpful Tip:
To edit the entries in the ‘Time Activity’ screen, just click on the entry in the list. For example, if you wanted to edit your hours for an entry, click on the hour entry (see below).
This will open the Time Entry Form and you’ll be able to make and save edits. After you’ve confirmed the details of these entries are correct, put a check mark in the box next to the entries you want to submit for approval.
