With our new importing feature, bringing data into Time Tracker can be quick and easy! Follow the instructions below to learn how to import users, customers, and projects.
Users
In order to import users, you’ll need to visit the “Admin” tab in the navigation menu and click on the “Manage Users” subtab. From there, under the orange “Add User” button you’ll see a blue link titled “Import from CSV”. From there you can download our CSV file. It is recommended to make sure the checkbox on the bottom is checked off in order to download a file that has some pre-filled data. This data is meant to be written over by you as it is just placeholder data. It will help show what your file should look like when you start adding data.
Here is a list of all of the user data you can import:
- First Name (required)
- Last Name (required)
- Email (required)
- Standard Rate (required): This column will only be displayed if you have a +Billing or +Legal Account.
- Overtime Rate (required): This column will only be displayed if you have a +Billing or +Legal Account. Also, if Overtime Rates are disabled, this column will be hidden.
- Auto-approval Time - You can decide if you want auto approvals for time entries turned on for this user. You can enter either Y or N. If left blank the user will be defaulted to N.
- Auto-approval Expense: This column will only be displayed if you have a +Billing or +Legal Account. You can decide if you want auto approvals for expense entries turned on for this user. If the account has billing and the columns is empty it will be N by default.
- Allow access other Users: This allows the user to have access to viewing and editing time for other users. You can enter either Y or N. If left blank it will be set to Y by default.
- Address Line 1
- Address Line 2
- Country: If empty then when importing, we will take the country from the firm by default
- IsAdmin: Gives the user “Admin” status. You can enter Y or N. If empty the user will default to Y.
- Contractor: This column will only be displayed if you have a +Billing or +Legal Account. You can enter Y or N. Will show as N by default if left blank.
- Standard Rate charged to firm (Required if Contractor is set to Y): This column will only be displayed if you have a +Billing or +Legal Account.
- Overtime Rate charged to firm (Required if Contractor is set to Y): This column will only be displayed if you have a +Billing or +Legal Account. Also, if Overtime Rates are disabled, this column will be hidden.
Customers
Please note that Time Tracker Premium users will show the term clients instead of customers by default.
In order to import customers, you’ll need to visit the “Customer” tab in the navigation menu and click on the “Customer List” subtab. From there, under the orange “Add Customer” button you’ll see the blue link titled “Import from CSV”.
Here is a list of all of the customer data you can import:
- Customer ID (required) If the Enable Customs ID feature is disabled, then this column will not show.
- First Name (Required only if the Customer Type is a Person. Leave blank if the Customer type is an Organization.)
- Last Name (Required only if the Customer Type is Person. Leave blank if the Customer type is an Organization.)
- Business Name (Required if the Customer Type is Organization. Leave blank if the Customer type is a Person.)
- Customer Type: You must choose between two types, Person or Organization. If left blank, Time Tracker will default to Person.
- Phone
- Mobile
- Address Line 1
- Address Line 2
- Country: If empty then when importing, we will take the country from the firm by default.
- Postal Code
- Payment Terms: Options to enter for Payment terms are: CIA, COD, Net 15, Net 30, Net 30. This column is for +Billing users only. You will not see this column if you don’t have a +Billing or +Legal subscription.
- Override User Rates: You can enter either Y or N This column is for +Billing users only. You will not see this column if you don’t have a +Billing or +Legal subscription.
- Hourly Rate: This column is for +Billing users only. You will not see this column if you don’t have a +Billing or +Legal subscription.
- Overtime Rate: This column will only be displayed if you have a +Billing or +Legal Account. Also, if Overtime Rates are disabled, this column will be hidden.
Projects
Please note that Time Tracker + Legal and LawBillity users will show the term matters instead of projects by default.
If your account supports projects, you can import them as well. In order to import projects, you’ll need to visit the “Project” tab in the navigation menu and click on the “Project List” subtab. From there, under the orange “Add Project” button you’ll see the blue link titled “Import from CSV”.
- Project ID (required): If the Enable Customs ID feature is disabled, then this column will not show.
- Client Name (required)
- Project Name (required)
- Project Description
- Billable Type: Options for Billable Type are: Hourly, Contingency and Flat Fee. If the column is empty then the default will be Hourly.
- Override User Rates : You can enter either Y or N.
- Hourly Rate: This column will only be displayed if you have a +Billing or +Legal Account.
- Overtime Rate: This column will only be displayed if you have a +Billing or +Legal Account. Also, if Overtime Rates are disabled, this column will be hidden.
