Setting User Billing Rates
Give each person a default billing rate so their time never bills at $0.00
Applies to: Premium · LawBillity
Each person can have a default hourly rate and overtime rate. Time Tracker uses it whenever no more specific rate applies, so setting it for everyone is the easiest way to avoid $0.00 invoices.
Setting a User's Rate
- Go to Admin > Manage Users.
- Open the person's row menu and click Edit User.
- On the Overview tab, under Billing Rates, enter their Standard Billing Rate.
- If you bill overtime differently, enter an Overtime Billing Rate.
- Click Save.
Billing rates are what clients are charged. The Pay Rates on the same tab are what you pay the person, and don't affect invoices. Manage Users shows everyone's Standard Billing Rate and Overtime Rate in the list, so you can spot anyone without one.
The user profile, where billing rates and permissions are set.
Which Rate Wins
Time Tracker uses the most specific rate it finds, in this order:
- Project rate, set on the project's Billing tab.
- Client rate, set on the client's Other Details tab. See Setting Client Billing Rates and Overrides.
- Activity rate, the Rate set on the activity in Admin > Settings > Customize > Custom Lists > Activity.
- User rate, the Standard Billing Rate on the person's profile.
A Simple Setup
Give every user a default rate so no entry bills at $0.00 by accident. Then add client or project rates only where you have a specific agreement, like a discount for a long-term client.
Common Problems
- The invoice shows $0.00. The person has no rate, and nothing more specific applies. See Why Does My Invoice Show $0.00?.
- The invoice uses a different rate than the user’s. A project, client, or activity rate is taking priority. The Rate column when you select invoice entries shows the rate used. See Selecting Entries for an Invoice.
- Overtime isn’t billed at the overtime rate. Check that Overtime Billing Rates is Enabled in Admin > Settings > Timer Settings.
- You changed a rate but an old invoice didn’t change. New rates don't reprice entries already on a finalized invoice.
