Understanding Billing Statuses: UnBilled, Pre-Billed, and Billed

Know whether an entry is ready to bill, on a draft invoice, or already billed

Applies to: Premium · LawBillity

Every billable time entry and expense has a billing status that shows whether it's been invoiced. Check it when an entry isn't showing up on an invoice, or when you can't change it.

Status
What it means
Can you change it?
UnBilled
Not on any invoice yet. Ready to bill.
Yes
Pre-Billed
On a draft invoice that hasn't been finalized
Yes, after you take it off the draft invoice
Billed
On a finalized invoice
No. It's locked until the invoice is unfinalized.

How an Entry Moves Through

  1. You log time or an expense. It's UnBilled.
  2. You create an invoice and select it. It's Pre-Billed. See How to Create a New Invoice.
  3. You finalize the invoice. It's Billed. See Finalizing and Sending an Invoice.
  4. The client pays, and you record the payment against the invoice. See Recording Client Payments.

Where to See the Status

In Entries > Manage My Entries (or Manage Team Entries), the Invoice Status column shows each entry's billing status. Billing > History lists everything that's been invoiced.

Note: Your firm may call a draft invoice something other than Pre-Bill. See Renaming Clients, Projects, and Other Terms.

Common Problems

  • You can’t edit a Pre-Billed entry. Take it off the draft invoice first, or delete the draft. Then edit it.
  • You need to fix a Billed entry. If the client hasn't received the invoice yet, unfinalize it on Billing > Invoices, fix the entry, and finalize again. If they already have it, correct the amount with an adjustment. See Creating Billing Adjustments.
  • An UnBilled entry still can’t be edited. It may be approved (the approver must reject it) or on a locked day (an admin or manager can still edit it). See I Can't Edit a Time Entry.
  • An entry won’t show up on a new invoice. It's probably already Pre-Billed on another draft. Find that draft in Billing > Invoices.
  • You changed a rate, but an old invoice didn’t change. Rate changes don't reprice entries already on a finalized invoice.
