Payroll Reports
Get accurate hour totals for each person at the end of a pay period
Applies to: Workforce · Premium · LawBillity
At the end of each pay period, payroll needs accurate hours for every person. These reports give you those totals, whether you run payroll by hand or send hours to ADP, Gusto, or Paychex.
Which Report?
- Payroll: total regular and overtime hours for each person for the pay period, one row per person. This is the one you hand to payroll or import into your payroll system.
- Timesheet Summary or Hours Summary: quick hour totals to check before you run payroll.
- User: every entry behind the totals. Use it when someone questions their hours or for an audit.
- Contractor: for people you pay as contractors.
Pay rates are separate from billing rates. They're set on each user's Overview tab in Admin > Manage Users, under Pay Rates, along with whether the person is a contractor.
Running a Payroll Report
- Click Home > Reports and choose Payroll.
- Set the date range to match your pay period. Your firm's Payroll Period (weekly, every 2 weeks, and so on) is set in Admin > Settings > System Settings.
- If you run payroll by department, filter by user group.
- Click Generate Report.
End-of-Period Checklist
- Everyone submits their time. See Submitting Time for Approval.
- Managers approve it. See How Time Entry Approvals Work.
- Lock the period so people can't change their hours after payroll: Entries > Lock Time Periods, pick the users and days, and click Lock. See Locking Time Entry Periods.
- Run the Payroll report and check it. Look closely at overtime and anything unusual.
- Send the hours to payroll. If you use a payroll integration, use it: Connecting ADP (RUN and Workforce Now), Connecting Gusto Payroll, or Connecting Paychex Flex. Otherwise, export the report to CSV and import it.
Common Problems
- Someone’s hours are missing. Their time may not be submitted or approved yet, and your Entry Status filter may leave it out. If they've left, tick Include Disabled.
- Hours changed after you ran payroll. Lock past periods once payroll is done. Admins and managers can still change entries in a locked period. See Locking Time Entry Periods.
- Hours land on the wrong pay type in your payroll system. See Payroll Item Mapping for Payroll Integrations.
